SME Managers ("we", "us", "our") operates the platform available at smemanagers.com. This Privacy Policy explains what information we collect, how we use it, and your rights in relation to it. By using our platform, you agree to the practices described here.
1. Information We Collect
Account information
When you register, we collect your name, email address, phone number, and business details (business name, type, location). This is necessary to create and manage your account.
Business data you enter
All data you enter into the platform — products, sales, expenses, customer records, staff details, payroll figures — belongs to you. We store it on your behalf to provide the service.
Usage data
We collect information about how you use the platform: pages visited, features used, actions taken, timestamps, IP address, browser type, and device information. This helps us improve the product and diagnose issues.
Payment information
Subscription payments are processed through M-Pesa and other payment providers. We do not store your M-Pesa PIN or full card details. We store transaction references and amounts for billing records.
Communications
If you contact us by email, WhatsApp, or through the contact form, we retain those messages to respond and improve our support.
2. How We Use Your Information
- To provide, operate, and maintain the SME Managers platform
- To process your subscription and send billing receipts
- To send important service notices (security updates, downtime, policy changes)
- To respond to your support requests
- To improve and develop new features based on usage patterns
- To comply with legal obligations under Kenyan law
We do not sell your personal data or your business data to third parties.
3. Data Storage and Security
Your data is stored on servers located in Kenya and/or within the East African region. We use industry-standard encryption in transit (HTTPS/TLS) and at rest. Access to production data is restricted to authorised personnel only.
We perform daily automated backups. In the event of a data breach that affects your personal information, we will notify you within 72 hours of becoming aware of it.
No system is perfectly secure. You are responsible for keeping your login credentials confidential and for any activity that occurs under your account.
4. Data Sharing
We share your data only in the following limited circumstances:
- Service providers — third-party tools we use to operate the platform (e.g. email delivery, payment processing, server hosting). They are contractually bound to protect your data and use it only for the purposes we specify.
- Legal requirements — if required by a court order, government authority, or applicable Kenyan law.
- Business transfers — if SME Managers is acquired or merges with another company, your data may transfer as part of that transaction. We will notify you in advance.
5. Cookies
We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the platform is used. You can disable cookies in your browser settings, but some features of the platform may not work correctly without them.
6. Your Rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your account and associated personal data
- Export your business data at any time from account settings
- Withdraw consent where processing is based on consent

7. Data Retention
We retain your account data for as long as your account is active. If you close your account, we will delete your personal data within 90 days, unless we are required to retain it longer by law (e.g. financial records). Your business transaction data may be retained in anonymised form for analytical purposes.
8. Children
SME Managers is intended for business use by adults aged 18 and over. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by displaying a prominent notice in the platform at least 14 days before the changes take effect. Your continued use of the platform after that date constitutes acceptance of the updated policy.
